Scope of this policyThis policy explains how FlyTravio Pty Ltd collects and uses personal data through flytravio.com, our mobile experience, the travel agent portal, and when you deal with a trip designer by phone or email. It applies to travellers, agency users, and visitors to our website. Where you provide us with details of other travellers on a booking, you confirm you have their permission to share that information with us.
2. What we collect
Booking data: name, date of birth, passport and visa details, contact details, and payment information (processed by our PCI-DSS compliant payment partners — we do not store full card numbers).
Usage data: pages viewed, searches performed, and device/browser information, collected through essential cookies and, with consent, analytics cookies.
Communications: records of calls, emails, and chat messages with trip designers and support, kept to maintain service quality and resolve disputes.
3. How we use it
We use your data to arrange and manage your bookings, communicate about your trip, provide on-trip support, prevent fraud, meet legal and accreditation obligations (IATA, ATAS), and — where you've opted in — send offers and fare alerts. We do not use passport or visa data for any purpose beyond the booking it relates to and any legally required record-keeping.
4. Who we share it with
We share the minimum data necessary with airlines, hotels, tour operators, ground transport providers and visa-processing bodies to deliver your booking — this typically includes passenger names, passport details, and travel dates. We share payment data only with our payment processing partners, never with suppliers directly.
We do not sell personal data to third parties. Where a travel agent books on your behalf through the B2B portal, your data is shared with that agency as the party you contracted with, subject to their own privacy obligations.
5. How long we keep it
Booking records are retained for 7 years to meet accounting, tax and accreditation requirements. Passport and visa copies are deleted 90 days after your trip is completed unless a longer period is required by law. Marketing preferences are retained until you withdraw consent.
6. Your rights
Depending on where you're resident, you have rights to access, correct, delete, or port your personal data, and to object to or restrict certain processing. Indian residents may exercise rights under the Digital Personal Data Protection Act, 2023; Australian residents under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
To exercise any of these rights, email privacy@flytravio.com with your booking reference. We respond within 30 days.
7. Cookies
We use essential cookies to run search, checkout and login, and — with your consent — analytics and advertising cookies to understand site usage and measure marketing performance. You can manage non-essential cookies at any time through your browser settings; blocking essential cookies may prevent booking flows from working correctly.
8. Children's data
We collect data about children only where they are travelling on a booking made by a parent or guardian, and only what's required for travel documentation and fare purposes. We do not knowingly collect data directly from children for marketing purposes.
9. Security
We use encryption in transit and at rest for sensitive data, role-based access controls internally, and regular security reviews of our booking platform. No system is completely immune to risk; if a breach affecting your data occurs, we will notify affected individuals and relevant regulators as required by applicable law.
10. Changes to this policy
We may update this policy as our services or legal obligations change. Material changes will be highlighted on this page with an updated effective date; continuing to use FlyTravio after a change takes effect means you accept the updated policy.
